This full-time position is primarily responsible for managing a variety of general office activities by performing the following duties.

Essential Duties & Responsibilities – Accounts receivable

Core duties and responsibilities include the following. Other duties may be assigned.

  • Ensure security, integrity, and confidentiality of data.
  • Ensures adherence to office policies and procedures.
  • Monitor and maintain office supply inventory at all sites.
  • Review and approve office supply acquisitions for all sites.
  • Greets clients and employees at the front desk and ensures that they receive the best in customer care.
  • Answers the phone calls and emails in a timely manner and directs communications to appropriate team member.
  • Manages meeting room schedules.
  • Receives, records, and distributes packages and mail.
  • Assists with travel arrangements for employees, if necessary.
  • Maximizes office productivity through proficient use of appropriate software applications.
  • Manage internal staff relations with Human Resources assistance.
  • Maintain a safe and secure working environment.
  • Maintain and implement hardcopy and digital filing systems and ensure filing systems are current.
  • Researches and develops resources that create timely and efficient workflow.
  • Establishes uniform correspondence procedures and style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Works with CSI Executive leadership team to plan office layout, assists in developing an office budget, and initiates cost reduction programs.
  • Analyzes and organizes office operations and procedures such as ISO policies and procedures, bookkeeping, personnel, information management, invoicing, filing systems, requisition of supplies, and other clerical services ensuring maximum efficiency.
  • Performs and or facilitates maintenance of office equipment and furniture including cleaning, maintenance, repairs, and replacement as needed.
  • Assists with planning and organizing company events (team building, culture, employee events, employee recognition, milestone recognitions, etc.) with the Executive Team & Human Resources.

INVOICING RESPONSIBILITES

  • Carries out daily invoicing for all customers and manages invoicing related communications with customers.

Required Experience:

  • Associate degree (A. A.) or equivalent from a two-year College or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.
  • To perform this job successfully, an individual should have some knowledge of Accounting software, Contact Management systems, Database software, Internet software, Microsoft Office Suite of Programs
  • Currently reside in Arizona and be able to commute daily to our headquarters in Phoenix, Arizona.
